Short-term scientific missions

Purpose

CELINA offers grants for Short Term Scientific Missions (STSMs) that contribute to its scientific objectives by allowing applicants to learn new techniques or gain access to specific instruments and/or methods not available in their own institutions. According to COST rules, an STSM grant is a fixed contribution to the costs associated with an exchange visit to an institution or laboratory in another Participating COST Country or an approved near neighbor country (NNC) institution or an approved international partner country (IPC) institution.

Grant scheme

The contribution to an STSM is fixed based on the following rules:

• An STSM has a duration between 5 and 90 days.
• The reimbursement rate for subsistence per day is usually EUR 60 to 100 depending on the location.
• Up to EUR 500 may be attributed for the travel expenses.
• A maximum EUR 2500 in total can be afforded to the grantee.
• ESRs may apply for STSMs with a duration between 91 and 180 days. In this case a maximum of EUR 3500 in total can be afforded to the grantee.

STSM process

In order to receive a STSM grant, the applicant must:

• Obtain the written agreement of the host institution, before submitting an application.
• Complete the online application form.
• Send the completed file as e-mail attachment together with the necessary supporting
  documents (see below) to the STSM host institution, the STSM coordinator, and the MC Chair.

The following supporting documents are required:

• CV
• Full work plan including a statement on how the STSM will contribute to the aims of CELINA
• List of publications
• Motivation letter including justification of expenses for subsistence if above the usual amount
• Letter of support from the host institution
• Other documents if applicable

The grantee is required to submit a short scientific report (minimum one page, preferably more) to the host institution as well as the MC Chair for information and to the STSM coordinator for approval within 30 days after the end date of the STSM containing:

• Purpose of the STSM and its relevance for CELINA.
• Description of the work carried out during the STSM.
• Description of the main results obtained.
• Implications of the results within the context of CELINA.
• Conclusion on whether the aim of the STSM has been met.
• Future collaboration with the host institution (if applicable).
• Foreseen publications/articles resulting from the STSM (if applicable).
• Confirmation by the host institution of the successful execution of the STSM.
• Other comments (if any).

The failure to submit the scientific report within 30 days will effectively cancel the grant.
The STSM coordinator is responsible for approving the scientific report. After receipt of the approval by email, the Grant Holder will execute the payment of the grant.

Please note that publications emanating from work performed during an STSM should include in their acknowledgement the following statement: This work was conducted within the framework of the COST Action CM1301 (CELINA).
